IT Support Case Study: Wood Floors & Accessories
Wood Floors & Accessories (WFA) are a busy, expanding reseller of hardwood flooring
and accessories to trade. They operate out of a large warehouse in Essex to which
they recently moved into after outgrowing their previous warehouse. They have been
operating for over 8 years and are active throughout the UK offering next and same
day delivery to wood floor fitters and wood floor retailers.
IT Support Brief
As a fast growing company they soon came to the conclusion that they would need
a far more reliable IT system in the new warehouse to both communicate with their
customers and handle order processing. Their previous network consisted of a simple
workgroup which was unable to provide reliability and security. The PCs used old
hardware technology alongside a Windows 98 operating system that had frequent tendencies
to fail during the most critical of situations. WFA was an existing IT Support client
so they decided to approach PC Docs to provide them with a solution for their new
warehouse.
They requested a system to provide the following:
- Install a server able to deal with emails, faxes, ordering and accounting software
- Propose replacement PC's to deal with modern office demands e.g. Word Processing,
Spread Sheet and database processing
- Propose new networked laser printers including the capability to produce colour
- Provide a reliable and easy to maintain backup system
- A single anti-virus and anti-spam solution
- Software to monitor employee usage of Internet, emails and messenger
- The ability for proposed server hardware to cope with an increase of employees envisaged
over the next 5 years. (Future proofing)
IT Support Proposal
As a server we proposed a powerful Dell machine with a large capacity backup tape
drive and a RAID5 configuration of large capacity hard drives to provide increased
speed and redundancy. The best operating system for the server would be Windows
Small Business Server 2003 which integrates the most important parts of the system
into one box. This allows the server to handle all emails and faxes without the
need for any 3rd party software. WFA use a SAGE based application to handle purchasing
ordering, stock control and order processing so the server would host the data files
to be used by all the users. The network speed will be improved to 1GBps which will
ensure smooth and fast data flowing. For an anti-virus/spam solution we again recommended
Sophos, with the server installed control panel it is possible to see the current
status of all PC on the network at a glance. To control incoming faxes and emails
we used the integrated features of Small Business Server 2003. For additional security
a Cisco PIX firewall was installed and configured.
IT Support Contracts
WFA agreed to the whole proposal. The work was carried out in 2 stages. The first
stage included hardware installation (including cabling). The second stage was to
copy all the data from old PCs to the server, set up SAGE and ordering software
and set up telephone/fax system. In addition WFA also extended the IT Support Contract including our Pro-Active
Network Monitoring plug-in for the following 2 years which includes maintaining
the ordering software.
