IT Support Case Study: Hollybrook Homes
Hollybrook Homes Ltd is a London based property developer. With over 20 major residential
and commercial developments throughout the UK including central London, Essex and
Humberside, Hollybrook Homes relies heavily on its IT network.
IT Support Brief
As the company grew so did the need for a new IT system. Hollybrook used a workgroup-based
network in its head office and site offices. They could not trust its reliability
and security and often had problems with Virus and Spyware and more importantly,
they had no back up solution. PC Docs was initially called in with IT Support issues
as they could not rely on their current supplier, it was during our visits both
at the head office and the sites that PC Docs suggested a meeting with the management
to highlight potential areas of disasters and how best to avoid these issues. We
were then instructed to come back with a proposal on how best to resolve the issues
and improve the network overall and bring it up to date as defined below:
- A solution to control the access and distribution of company documents
- Increase reliability of PC's
- Introduce a backup solution, something that had not taken place earlier before
- A new email system with the ability to share contacts, calendars and tasks
- Back up of all emails
- Access to emails, calendars, contacts from remote PC's
- Enable site offices access to the head office server for document access, email
and back up solution
IT Support Proposal
PC Docs recommended the installation of a dual processor Dell server with redundant
power supplies and a UPS to protect against power failure. The server will be responsible
for handling all emails, documents and backups. It would also control access level
individually for each member of the staff and departments. The branches will be
connected to the head office using secure VPN tunnels to allow them access to all
company's resources as if they were in the same office. All the documents produced
locally in the branches will be stored on the server to ensure that they will always
be backed up together with the head office documents. For protection against both
Spam and Viruses PC Docs recommended Sophos software as the one and only anti-virus
and anti-spam system in the company to make the management of licensing easier.
For added security from outside access, hardware firewalls were installed in the
head office and each of the branches.
IT Support Contracts
After discussing PC Docs proposal, Hollybrook Homes Ltd agreed to install the server
running Windows Small Business Server 2003 as an operating system. It is installed
on powerful Dell server that provides enough resources to act as an email, file
and print server. Remote branches are connected via VPN tunnels using VPN routers.
Each user is able to send and receive emails via the central server and print to
every printer installed on the network. Exchange Server, a part of SBS2003 allows
users to share their calendars, contacts lists and store information in public folders.
Every user has its own credentials that allow to control what files can be accessed
by each person. Each office has been fitted with new Dell workstations to increase
both the reliability and productivity of the whole network.
PC Docs provide ongoing Network Support
In February 2005, Hollybrook moved to the new premises. PC Docs were asked to manage
the IT network move including new high speed cabling and ADSL connections. The move
was conducted over a weekend and working day and night we ensured that everything
was operational as before for the following Monday. Since the initial installation,
PC Docs takes care of the whole system including
Level 1 IT Support. Currently the contract
covers 23 PCs, the server and 7 networked printers in all the sites. If there is
a need to add a PC, purchase new printers or new software Hollybrook always consults
PC Docs, such is the level of confidence in us.
