IT Support Case Study: Classical Recording
Classical Recording is a London based production company that provides Digital Location
Recording, Editing & Mastering, Broadcast Production & Speech Recording.
The companies clients have been wide ranging, including major record companies such
as EMI, Hyperion and Naxos, smaller labels such as Clarinet Classics and Cello Classics,
regular productions and live broadcasts for BBC Radios 3 and 4, and many private
releases on CD and cassette, for individuals, orchestras, ensembles and schools.
IT Support Brief
The software used by Classical Recordings for their re-mastering and digital recording
is a bespoke software designed and developed over a number of years. The cost of
upgrading the software effectively removed this as an option for Classical Recordings.
The software therefore could not be used on a modern PC without upgrading so we
had to find a solution that will work with these PC's (Windows 98).
The additional brief was the following:
- Allow sharing of Contacts, Task Lists and calendars
- Access to Outlook information from a remote location
- Centralised back up of all data that we be frequent, robust and reliable
- Central storage of data for fast access and sharing
- Enable SADIE files (Bespoke Recording Software) to be copied onto the server for
backup
- Email accounts to be controlled via a central server and backed up
- To use current PC's where possible
IT Support Proposal
PC Docs recommended installing a Dell PowerEdge server with Windows Small Business
Server 2003 as the operating system. This system is able to provide a solution for
all the needs of Classical Recordings. It will handle the company email system (Exchange
Server 2003), store all the documents and most importantly provide backup for the
whole network including three editing machines using Veritas Backup Exec. Using
Outlook Web Access (OWA) access to emails, contacts and all Outlook functions can
be had from any internet enabled PC in the world. All changes, additions and deletions
are synchronised with the users Outlook on their office PC. All the PCs will be
protected by Sophos anti-virus and anti-spam software which is able to be maintained
from the central server and it also updates automatically all the PCs in the network.
Important part of the installation will be new network switch which will boost up
the speed to 100 MBps from current 10MBps provided currently by basic hub. Additional
security will be provided by middle-class modem/router with the hardware firewall
built in. For the Editing PC's (Windows 98) we proposed that we write a script that
copied the local files used by SADIE to the server for backup. The script was completely
automated, frequent and able to only update the files that had changed recently
reducing network traffic.
IT Support Contracts
Classical Recording agreed to the whole proposal.
The three editing PC's (Windows 98) also joined the domain, which allowed them to
share all the network resources. An additional task was to transfer all the earlier
emails, contacts and documents for all users to the server and Exchange. PC Docs
also created a script that was able retrieve data from editing machines to allow
server to backup all the editing files. The client has commented on how pleased
he was with the results and was amazed that it all worked "exactly as it said on
the tin".
