IT Support Case Study: ACBBA London
ACBBA is a London based charity. They provide resources to enable grass root organisations
offer business support to entrepreneurs in their communities as an in-house, core
function.
IT Support Brief
ACBBA enlisted the help of PC Docs initially on an AD-hoc basis to solve an urgent
issue with one of their PC's. We were able to respond to the issue quickly and got
the PC up and running again in a short time. Impressed with our abilities they requested
that they would like to have their IT system overhauled and enlisted us in a consultancy
capacity. We met with the senior managers and begun to assess their needs. Part
of this assessment required us to undertake a full IT network audit that would allow
us to determine what needed to be replaced/ upgraded and what could be utilised
in any new network. Based on this we where able to provide them with a comprehensive
proposal. Their requests where:
- A solution to control the access and distribution of company documents
- Increase reliability and speed of PC's and replace if necessary.
- Introduce a backup solution.
- Introduce a new email system with the ability to share contacts, calendars and tasks.
- Back up of all emails.
- Access to emails, calendars, contacts from remote PC's.
- Provide and install a solid anti-virus and anti-spam software.
- Provide a wireless solution for visitors to have internet access.
- A new all-in-one Laser printer (Scan, Fax, Print and Copy)
IT Support Proposal
PC Docs recommended the installation of an Intel based dual core Dell server with
a UPS to protect against power failure. The server will be responsible for handling
all emails, documents and backups. It would also control access level individually
for each member of the staff and departments. Remote users will be connected to
the head office using secure a VPN tunnel to allow them access to all the company's
resources as if they were in the same office. For protection against both Spam and
Viruses PC Docs recommended Sophos software as the one and only anti-virus and anti-spam
system in the company to make the management of licensing easier. For added security
from outside access, hardware firewalls were installed in the head office as well
as a wireless router. The provision of new PC's and laptops, and increased memory
in newer existing PC's. We also advised an a HP all-in-one laser printer that enables
all users on the network to print and scan documents.
IT Support Contracts
After discussing PC Docs proposal, ACBBA agreed to install the server running Windows
Small Business Server 2003 (SBS 2003) as an operating system. It is installed on
powerful Dell server that provides plenty of resources to act as an email, file
and print server. Remote workers are connected via VPN tunnels using Windows VPN
service. Each user is able to send and receive emails via the central server and
print to every printer installed on the network. Exchange Server, a part of SBS
2003 allows users to share their calendars, contacts lists and store information
in public folders. Every user has its own credentials that allow to control what
files can be accessed by each person. PC's where replaced with Dell workstations
to increase both the reliability and productivity of the whole network. Additional
memory was installed in existing laptops to increase their speed and productivity.
ACBBA signed a 1 year contract with PC Docs to provide
Level 1 IT Support,
which includes access to the helpdesk, unlimited remote access and fast on-site
response times.
